The candidate for this position will be successful if they are able to execute a variety of secretarial duties of a confidential nature. These tasks will include working with attorneys, paralegals, and other members of the firm with a series of administrative functions. Therefore, the candidate will have to have effective time managements and organisational skills coupled with the ability to be detail oriented.

Duties and Responsibilities include:
  • Maintain Partner(s) and/or Professionals’ diary including the coordinating and liaising with relevant parties with regards to meetings and to prepare all documentation for appointments and travel
  • Filing, organising, and maintaining documents, case files and law libraries
  • Opening and closing of legal files in accordance with the firm’s policies and procedures
  • Organise and maintain legal files in accordance with the firm’s policies and procedures
  • Assist in handling legal administration requirements
  • Assist in the preparation and processing of legal documents
  • Print all correspondence, pleadings and documents and file same in physical/ hard copy files
  • Ensure documents dispatched are accurate
  • Liaise with messenger/ driver
  • General office administration and management
  • Dictation typing
  • Thorough knowledge, understanding and experience in employment law.
  • Follow up with clients regarding payments and keep a log of all client contact.
  • Compile and submit weekly outstanding reports (payments from client and report to accounts department once a week)
  • Ensure compliance with FICA
  • Complete time sheets and capture time on CMS/Adarant.
  • Keeping track of attorney time records and billing
  • Monthly invoicing in accordance with Firm’s policies and procedures
Minimum Requirements:
  • Grade 12 (Matric)
  • Paralegal / Legal Secretarial qualification
  • Minimum of 3-5 years’ experience as a legal secretary within a law firm
Skills (Know-How Job Related Skills Required to Completed Activities):
  • Knowledge of CMS / Adarant
  • Knowledge of Microsoft Office Suite
  • Knowledge of Billback
  • Knowledge of basic numeracy and literacy skills
  • Knowledge of administrative and clerical procedures and systems
  • Knowledge of FICA
