The candidate for this position will be successful if they are able to execute a variety of admin assistant duties of a confidential nature. These tasks will include working with attorneys, clients, paralegals, and other members of the firm with a series of administrative functions. Therefore, the candidate will have to have effective time management and organisational skills coupled with the ability to be detail oriented.
- Be able to work with a diary system
- Knowledge of CMS
- Be able to work with a file labelling system (make labels /tags for files / open matters with the correct matter description)
- Be able to work with accounting folders (draw fee memorandums, send e-mails off to clients & filing of invoices with covering emails)
- Filing of invoices/pre-bills and e-mails to enclosing the invoices
- Ordering of stationery and stocktaking of team’s supplies.
- Diarising & closing files
- Be able to take calls, prepare detailed messages, follow up with the sheriffs & confirm service jurisdiction
- Collate, distribute e-mails, draw files
- Getting documents from reception that have been served on LIT & scanning to fee earner/ client
- General drafting, e-mails, letters, pleadings and notices and copying and collating
- Grade 12 (Matric)
- Minimum of 2-3 years’ experience as a admin within a law firm
- Knowledge of Microsoft Office Suite
- Knowledge of CMS
- Knowledge of FICA
- Communicate effectively both verbally and written
